Privacy policy

Effective from 31 October 2026

We only collect what is needed for you to search, plan and book. Here you can see what we store, why, who we share it with and what rights you have.

Data controller

Matchinghotels, Österängsgatan 32, 302 53 Halmstad, Sweden, is the data controller. Send questions about your data to booking@matchinghotels.com.

What we process and why

When you book
Name, email and phone number of the person booking, plus hotel, dates, number of guests, children's ages, price and booking number. We need this to carry out the booking and help you with cancellations and questions (legal basis: contract). Name, email and booking details are stored by us. The phone number is sent to our booking partner but is not stored in our own database.

Your account
Email address and a user ID. If you sign in with Google, we also receive the name and email Google shares. We need this so you can sign in and see member prices (legal basis: contract).

Trip planner
What you write in the chat, such as destination, dates, number of travellers, children's ages and wishes, is sent to our AI provider Anthropic to be turned into a search. We do not store the chat in any database. Do not write sensitive information in the chat (legal basis: contract, to provide the service you are using).

Searches
Destination, dates, number of guests and children's ages are sent to our booking partner to fetch prices. The search does not include your name or email.

Shared lists
The list title, your name if you enter it, the places you saved and who voted for what. The list can be seen by anyone with the link. We store the list so the link works (legal basis: contract). To have a list deleted, email us the link.

Newsletter
Email address, that you gave consent, when, and where you signed up. We only use it to send offers and travel tips from us (legal basis: consent). You can unsubscribe at any time by emailing us.

When you contact us
What you write and your email address, so we can reply (legal basis: legitimate interest).

Technical data
When you visit the site, our hosting provider records technical data such as IP address and browser, to run the site and protect it from abuse (legal basis: legitimate interest).

Cookies and browser storage

We do not use cookies for analytics or advertising. The site stores some data in your own browser so the features work:

• Saved places, your name for voting and your votes in shared lists.
• Details of a booking in progress while you pay. They are cleared when you close the tab.
• Your sign-in, if you have an account.

You can clear this data at any time in your browser settings.

The site loads the sign-in feature from Google, the payment form from Nuitee, hotel photos from our partners' servers and destination photos from Unsplash. These providers can see your IP address. Fonts are served from our own server.

Who we share data with

• Nuitee Travel Limited (Ireland), which operates liteAPI. Receives searches and bookings and handles payment. Booking details are passed on to the hotel and the suppliers needed to complete the booking.
• The hotel you book, so it can receive you.
• Google (Firebase), for sign-in and our database.
• Netlify, which hosts the website.
• Anthropic, which interprets what you write in the trip planner.

We never sell your data. Authorities receive data only when required by law.

Transfers outside the EU/EEA

Some providers, including Netlify, Google and Anthropic, may process data in the United States or other countries outside the EU/EEA. Hotels you book outside the EU also receive your booking details. When data is transferred, the providers use safeguards permitted by the General Data Protection Regulation (GDPR), such as the European Commission's standard contractual clauses. Contact us if you want to know more about a specific transfer.

How long we keep data

• Bookings: as long as needed to handle the booking, cancellations and any complaints, and longer if the law requires it, for example for accounting.
• Account: until you ask us to delete it.
• Newsletter: until you unsubscribe.
• Shared lists: until you ask us to delete the list.

Your rights

You have the right to know what data we hold about you, to have errors corrected, to have data erased, to restrict how we use it, to receive it in a machine-readable format and to object to processing based on legitimate interest. If you have given consent, you can withdraw it at any time. Email booking@matchinghotels.com.

If you are unhappy with how we handle your data, you can complain to the Swedish Authority for Privacy Protection (IMY), imy.se, or to the data protection authority where you live.

Children

The service is for adults making bookings. We only process children's ages to find suitable rooms and prices.

Changes

We update this policy when the service changes. The date at the top shows the latest version.
